This policy explains how Viewee Limited handles personal data. Please read it alongside our Cookie Policy and Terms & Conditions.

Two different roles, please read first. When you visit our website, join the early-access list, create an account, or contact us, Viewee Limited is the data controller, and this policy covers that. When a care provider uses Viewee to collect feedback from residents, families and staff, that provider is the controller of the feedback data, and Viewee acts as a data processor on their behalf under a separate Data Processing Agreement. This policy does not replace that agreement. If your data was collected through a care provider's Viewee account, contact that provider first - we will support them in responding.

1. Who we are

Viewee Limited is the controller for the personal data described in this policy. Viewee Limited is a company registered in England and Wales, company number 11270921, with registered office at 167-169 Great Portland Street, 5th Floor, London, England, W1W 5PF. 2. Who this policy covers

This policy applies to: visitors to our website; people who join our early-access list; prospective customers who contact us or book a demo; account holders and administrators; and people who otherwise contact us. Feedback collected through the platform is covered by the relevant care provider's own privacy information and our Data Processing Agreement with them (see the note above).

3. What personal data we collect

Account and contact data: name, work email, phone number, organisation, role, and login credentials.

Early-access signups: the details you give us on the waitlist form, including your email, organisation, setting and how you arrived (for example an invite link or campaign parameter).

Communications: messages, queries and feedback you send us, and enquiries you make (for example, booking a demo).

Usage and device data: browser and device type, and how you use the site, collected using cookies and similar technologies where you consent. We count visits to our invite links in aggregate; we do not store IP addresses or use fingerprinting for this.

Marketing preferences: if you sign up for updates.

4. Why we use it, and our legal basis

To provide, administer and support your account and the service - performance of a contract.

To manage the early-access list and tell you about your place on it - legitimate interests and/or contract.

To respond to enquiries and provide support - legitimate interests and/or contract.

To keep the service secure and prevent fraud or misuse - legitimate interests.

To understand and improve how the site is used (analytics) - consent.

To send you marketing about Viewee - consent, or legitimate interests for existing customers, and you can opt out at any time.

5. Cookies

We use essential cookies to run the site, and, with your consent, analytics cookies to understand usage. See our Cookie Policy for details and to change your choices.

6. Who we share data with

We share personal data only where needed, with:

service providers and sub-processors who help us run Viewee (for example hosting, email and support providers), under contract and on our instructions; professional advisers (for example legal or accounting); authorities, where we are required to by law; and a buyer or successor, if the business is sold or reorganised.

We do not sell your personal data or share it with third parties for their own marketing. A current list of our sub-processors is available on request.

7. Where your data is processed

Our committed standard is UK hosting. Where any data is transferred outside the UK, we rely on appropriate safeguards such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK-US Data Bridge.

8. How long we keep it

We keep personal data only for as long as we need it for the purposes above, or as the law requires. As a guide: account data is kept while your account is active, then deleted within 12 months; enquiry, support and early-access data is kept only for as long as we need it to manage the list and respond to you.

9. Special category data in the care setting

Feedback collected through Viewee may include information about a person's health or care, which is special category data under UK GDPR. That processing is carried out on behalf of the care provider (the controller) under our Data Processing Agreement, with appropriate safeguards. As the care provider, you are responsible for your own lawful basis and, where relevant, your Article 9 condition and any appropriate policy document. Viewee supports providers with role-based access controls, encryption and data-minimisation features.

10. How we keep data secure

We use technical and organisational measures to protect personal data, including encryption in transit, access controls, and due diligence on the suppliers we use. We are working towards recognised security certifications, including Cyber Essentials and ISO 27001; we do not yet hold these certifications.

11. Children

Viewee is intended for care organisations and their adult staff and representatives. It is not directed at children under 13, and we do not knowingly collect their data through our website. Any information about children that a provider collects through the platform is the provider's responsibility as controller.

12. Your rights

You have the right to ask us to: give you access to your personal data; correct it; erase it where there is no longer a reason to keep it; restrict or object to how we use it; and provide it in a portable format. Where we rely on consent, you can withdraw it at any time. To exercise any of these, contact [email protected]. If your data was collected through a care provider's account, contact that provider first (see the note at the top).

13. How to complain

If you have a concern, please contact us first at [email protected] so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator:

14. Links to other websites

Our site links to other websites. This policy applies only to Viewee, not to those sites - read their own privacy policies before using them.

15. Changes to this policy

We may update this policy. If we do, we will change the "last updated" date above, and where changes affect how we use your personal data we will take reasonable steps to let you know.
